I. How to Register

When you open the Allcal app for the first time, register with your name and email address so you can create an account.

1. Tap the Register button in the bottom right corner of the screen.

2. Enter your email address, password, and confirm your password.
3. Read and agree to the Terms & Conditions at the bottom left corner of the screen.
4. Tap Register.

5. Add a profile picture and your full name to complete your profile.  Your full name is required to make it easier for friends and family to find you.

  • You also have the option to link your profile with Facebook.

6. Tap Continue.

The next time you enter the app, you can skip registering and login with the email and password you created.

II. Changing User Profile Picture

 1. Tap into the Main Menu (three horizontal lines) in the top left corner of your screen.

2. Tap Account details below the Public Calendars icon.

3. Tap Edit.

4. Tap Change Profile Picture.

5. Choose a media type for your picture.

  • Select camera to take a picture of yourself, library to upload a photo you have previously taken from your phone, or cancel to void any changes being made to your current profile picture.

Once you have taken or uploaded a picture from your phone, your profile picture should be changed. To make sure the change has taken place, access the Main Menu of the app to view the profile picture.

III. Changing User Email

1. Tap into the Main Menu (three horizontal lines) in the top left corner of your screen.

2.  Tap Account Details below Public calendars.

3. Tap Edit.

  • Here you can change your email address or add additional email addresses by tapping on Add Another Email.

4. Tap on the email address to change your current email address.
5. Tap save when you are done entering the new email address.

IV. Changing User Name

1. Tap into the Main Menu (three horizontal lines) in the top left corner of your screen.

2. Tap Account Details below Public calendars.

3. Tap Edit.

4. Enter the new user name in the field under Full Name.

5. Tap Save.

Your name should now be changed on the account. This will be the name that other Allcal users can use to search for you.

V. Changing User Password

1. Tap into the Main Menu (three horizontal lines) in the top left corner of your screen.

2. Tap Change password to see more options.

3. Type your current password, the new password, and repeat the new password in the designated lines.

4. Tap Save to complete the password change once you have entered in the information.

You will receive a pop-up message saying “Password Changed.” Your password should now be changed and you should be able to use it the next time you login to the Allcal app.

VI. Private Calendars

A private calendar is invite-only. No one else can view or find a private calendar. The calendar’s owner decides who can edit events, add new ones, and share the calendar with other users.

To create a private calendar

1. Tap into the Main Menu (three horizontal lines) in the top left corner of your screen.

2. Tap the Add calendar button.

Here you can name the calendar, add a description, pick a color, choose a cover photo, and assign default permissions to new users that you want to share the calendar with. Make sure to select Private in the calendar type section to make it private.

3. Tap the Save button in the top right corner to complete your calendar once you are done designing it.

You should now see your private calendar appear on your My Calendars page.

VII. Public Calendars

A public calendar lets you broadcast information about any upcoming public event to everyone. Any Allcal user will be able to see all of the events on a public calendar. The owner decides who can edit events, add new events, and share events with others.

To create a public calendar

1. Tap the Main Menu.

2. Tap the Add calendar button.

3. Tap the Public icon to make the calendar public.

4. Name the calendar, write a description, pick a color, and choose a cover photo (all of these are required to save the calendar).
5. Decide which default permissions to give each new user. Click on Default Permissions for more information about them.
6. Tap the Save button in the top right corner when you are finished setting up your public calendar.

You should now be able to see your public calendar in the Public Calendars and My Calendars sections. Any Allcal user will be able to search for your calendar and add its events to his or her personal calendar.

VIII. Adding a Public Calendar

1. Go to the Public Calendars section by swiping your finger from left to right or accessing the main menu.

2. Open the calendar you want to add to your account.
3. Tap Add To Account to add that calendar to your list of personal calendars.

The button will now say Added to My Calendars to indicate that this calendar is now available in your My Calendars section.

When you go back to your My Calendars screen, you will see the calendar in your list of calendars. You can also add a calendar by tapping in the lower right corner of the calendar on the Public Calendars screen.

IX. Adding Public Events

1. Open the calendar with the event you want to add to a different calendar.
2. Tap the Add icon (diamond with a plus sign in the middle) next to the event information.

3. Tap the name of the calendar to add the public event to it.

  • Once you choose the calendar you want to add the public event to, you can view the public event on the calendar you chose from your My Calendars page.

4. Open the calendar to view the event.

X. Switching Between Public and Private Calendars

After you download and login to the Allcal app, you will be taken to the My Calendars section. From here you can switch between My Calendars and Public Calendars in two ways.

1. Swipe the screen with your finger to the left to go to the Public Calendars section to access public calendars from the My Calendars screen.

  • Swipe the screen to your right to return to My Calendars.

Another way to switch between Public and Private calendars is through the Main Menu. To access the Main Menu of the app, tap the three horizontal lines in the upper left hand corner of the screen.

2. Tap My Calendars or Public Calendars to be taken to that section.

XI. Rearranging your List of Calendars

You can rearrange your list of calendars in the My Calendars screen.

1. Tap and hold on a calendar to move it up or down your list of calendars in the My Calendars page.

2. Let go of the calendar when you have moved it to the desired position in the list.

XII. Searching Calendars

Searching Private Calendars
In the Allcal app, you can search your Private Calendars in the My Calendars section by searching for:

  • Events
  • Preset options:
    • Today
    • Tomorrow
    • Yesterday
    • Today to Friday
    • Today to Monday
    • Friday to Monday
  • specific dates

The search feature helps you navigate and find calendars and events easily.

As of right now, you cannot search for specific calendars in the My Calendars section, you can only search for the above stated items. The ability to search for calendars in the My Calendars section is currently in the development stage.

1. Tap the Search icon at the top right corner of your My Calendars page.

2. Search for an event by typing the name, or by typing in any of the other options.

You will see the event(s) pop up below the search bar.

3. Tap on the event to view the details.

Searching Public Calendars
You can also find public calendars by searching for the name of a calendar or the calendar description.

1. Go to the Public Calendars section.
2. Tap the search icon in the upper right corner of your screen.

3. Type in the name of the calendar or its description.

4. Scroll and select the calendar to view the events.

Searching for Events Inside Calendars

You can search for events inside calendars by event name, event description, and any of the preset options.

1. Open the calendar that you want to search in.

3. Search for an event by typing the name, or by typing in any of the other options.

4. Tap on the event to view the details.

XIII. Sharing Private Calendars

1. Open the private calendar that you want to share.
2. Tap the Calendar Settings button in the far right of the screen.

3. Tap the Calendar Sharing section.

  • If this is your first time sharing a calendar, the Allcal app will ask to access your contacts to make it easier to find the people that you want to share the calendar with.

4. Tap OK to let the app access your contacts.
5. Type in the name or email of the people you want to share the calendar with.

6. Select the name or email to share the calendar with that user.

7. Tap Share.

A notice or email is sent asking the user to add the calendar to their account. Before he or she has accepted the invite, there will be a question mark to the left of their profile picture on the Calendar Sharing page.

Once he or she accepts the share, the users name and permissions will be shown on the Calendar Sharing page. The user will also have access to the calendar and all its events.

XIV. Creating an Event

1. Open the calendar you want to add an event to.
2. Tap the Add Event icon (the diamond with a plus sign in the middle) in the upper right corner to create an event.

  • If it is a new calendar, you can tap the Add an Event button to create a new event.

Title and description

3. Add a title and description for your event. They can be as long as you want, but all of it might not be visible on certain screens.

Start date time

4. Pick when the event will start and end. This option will ask you the start month, date, year, and the exact time.
5. Tap Select to set the start date and time.

End date time
Allcal’s system will automatically set the event end time to 30 minutes after it starts, but this can easily be changed.

6. Tap on the End Date Time button and select exactly when you want the event to end.

If you’re creating a lot of events in a row, our app remembers the time difference between the event you just created, making it easy to create similar events quickly.  

Reminders
There are two different reminders that you can set for each event. Event Reminders are event specific and will show up on everyone’s accounts. Personal Reminders are people specific and will only appear on your own account. Check out the Reminders section for more information.

7. Tap the reminder button and choose one of the options to send a push notification reminder to your phone.

Timezone
8. Tap the timezone button to change the timezone for each event.

All day
9. Select the All day feature if your event lasts all day, or does not have a set beginning and end time.

Repeating
10. Tap the repeat button to create a repeating event.

Location

11. Tap the Location button at the bottom of the event details screen.
12. Type the exact address, city, or country your event will occur in.

13. Choose your address from the list of addresses below the location bar. A red pin should appear at the address you typed in.

  • You should see a blue route highlighted on the map along with an estimated time of arrival (ETA) at the top of the map.

14. Tap the Save button at the top right corner of the event screen to save the location to the event.

You should now be able to view the event in your calendar.

XV. Setting User Permissions

1. Open the calendar you want to change.
2. Tap on the Calendar Settings icon (the three vertical dots) at the top of the calendar.
3. Tap Default Permissions.
4. Toggle on/off which permissions you want to give to each new user.

  • Swipe the bar to the right to turn the bar dark blue, which means the permission is turned on. Swipe the bar to the left to turn the bar white, which means the permission is turned off.

5. Tap the left arrow to set all the permissions for the calendar/event.

6. Tap Save in the upper right corner. Default permissions can be changed at any time, but a change will only affect new users and will have no effect on users who are already shared on the calendar. There are four different types of permissions:  

View – View lets a user see a calendar, all its events, and their details. A user that does not have view permissions will only see when the second user is “Busy,” as seen by the screen below.

Add – Add lets a user add an event to the calendar. Any user with add permissions will be able to see the Add Event icon on the top right of the calendar screen.

Edit – Edit lets a user edit the calendar details, event details, and permissions for other users. You should only give edit permissions to a trusted user. A user with edit permissions will see the Edit option after tapping the Event Details button or they will see the Calendar Details after tapping the Calendar Details button. A user without edit permissions will only have the option to Duplicate an event or see more details on a calendar.

Share – Share lets a user share the calendar or the events with another user. A user with share permissions will be able to see the Calendar Sharing or Event Invitation option when he or she opens the calendar or event.

XVI. Linking Events with Multiple Calendars

Events can be linked between multiple calendars. It means that you can take an event from one calendar and connect it to another one. These links continue on forever. To link an event:

1. Tap the link icon next to the event you want to link.

2. Tap on the name of the calendar that you want to add the event to.

After choosing the calendar, you can view the linked event in that calendar.

The event can be added from this calendar into another calendar, and so on. Single events can be pulled from any of your private calendars or any available public calendars.

XVII. Sharing Events

1. Tap Event Invitation to share individual events.

2. Enter the name or email of the user that you want to share the event with.
3. Tap the name of the person you want to share the event with in the list of users.

4. Tap Invite. An invitation will be sent to that person so he or she can add the event to one of his or her calendars (he or she will choose which calendar to save it to).

Until the user accepts the invitation, there will be a question mark above his or her profile picture. Once the user accepts the invitation and puts it on one of his or her calendars, the user will be shown as an attendee of the event. He or she will also see any changes that you make in the event.

XVIII. Repeating Events

You can create repeating events with the Repeating Events feature. This is useful if you have an event that consistently occurs on the same day and same time of the week. With this feature, you won’t have to enter the same event several different times.  

Creating a repeating event

1. Open the calendar where you want to put the repeating event.

2. Tap the Add Event icon (the diamond with a plus in it) to create an event.

3. Scroll down until you see the Repeat section and tap on it.

4. Choose a repeating option for your event. If you choose daily, another menu will pop up.

5. Choose how you want your event to repeat. You can choose what day(s) you want the event to repeat on, if it repeats every other week, and if it has an end date or not. If you want it to end on a day, then you can select which day it will end on.

6. Tap the save button on the top right corner of the screen to save your changes once you have all of the features set up.

7. Tap the save button on the event screen to save the event.

You can also change just one event in a chain of repeating events without affecting all the other events.

Changing one repeating event

1. Open the calendar with the repeating event that you want to change.

2. Tap on the single event that you want to change.

3. Tap the event details button.

4. Tap edit.

5. Tap “Only this” to change the single event.

6. Tap “All occurrences” to change the entire series of repeating events.

7. Tap save once you are done changing the event to save your changes.

XIX. Duplicating Events

Use the Duplicate Events feature when you want to create an independent event similar to an existing event or create many similar events. If you duplicate an event, it will break the link which means you won’t be connected to the owner of the event. It is as if you created the event. To duplicate an event:

1. Tap the calendar that has an event you want to duplicate.

2. Tap on the event you want to duplicate.

3. Tap the event details button (the three vertical dots) across from the event name.

4. Tap Duplicate.

A menu pops up asking you to select which calendar you want to add your event to.

5. Choose the calendar in which you want to own the event.

Now you are able to edit the details of the duplicated event. Allcal automatically changes the name of the event to include the word “copy” at the end to avoid confusing the duplicated event with the original.

6. Tap Save after you have edited the details of the event.

You can now view the event in the calendar.

XX. Notices

Notices appear because someone shared a calendar with you, an event was deleted, you were removed from a calendar, someone created an event on a private calendar, or for many other reasons. You can view your notices by tapping the Notices Center in the right hand corner. If you have a notice, a number of how many notices you have appears inside the red circle.


You can see all of your notices after tapping the red circle. You can accept invitations or receive updates on different calendars in Allcal’s Notice Center.  

Tap the Mark All As Read button if you have multiple notices and do not want to tap through them all.

When a notice has been read, it will turn gray.

You can also enable or disable notices on any calendar. Notices are automatically enabled when you create and share a calendar. Calendars that you are shared on automatically have enabled notices.

Disabling notices on a calendar

1. Open the calendar that you want to disable the notices on.

2. Tap the calendar details button.

3. Scroll down to the bottom of the screen to get to the Get Notices switch.
4. Turn the Get notices switch to the off position. The dark blue color should now be white.

5. Tap save.

To enable notices on a calendar, go through the same steps except on step 4, turn the Get Notices switch to the on position which will change the color from white to dark blue. Follow step 5 as normal.

XXI. Reminders

Reminders remind users of events that are coming up. You can set them on any event. Many people can control reminders. There are two different types of reminders: Event Reminders are event specific and will show up on everyone’s accounts, Personal Reminders are people specific and will only appear on your own account.

Creating event reminders on an event

1. Tap the calendar you want to create an event on.

2. Tap the Add Event icon (diamond with a plus sign in the middle) in the upper right corner.

3. Tap on the event reminder section.

4. Choose a time for the event reminder. You can scroll for more options.

5. Tap save when you are finish creating your event.

The reminder will pop up on your phone for the time specified.

Adding a personal reminder onto an event

1. Open the event you want to add a personal reminder to by tapping on it.

2. Tap the Personal Reminder box.

3. Choose a time for your personal reminder to go off.

XXII. Changing Ownership

If you no longer want to be the owner of a calendar, this feature lets you transfer the ownership to another user.

1.  Open the calendar that you don’t want to own anymore.
2. Tap on the Calendar Settings button (the three vertical dots) at the top right corner of the calendar.
3. Tap on the Calendar Sharing section and you will see all the users that are shared on that calendar.

4. Tap the Transfer Ownership button.

5. Select the person you want to transfer ownership of the calendar to.

6. Tap Invite on the pop-up that shows up on your screen.

The other user will receive a notice telling them of the change in ownership and it will ask if they accept ownership of the calendar.

After the user accepts the invite to own the calendar, you will see that the ownership has changed to the other user. You will also receive a notice that the other user has accepted ownership.

Now you are no longer responsible for the calendar. (Hint: If you are the one who receives the transfer request, make sure to change the permissions on the previous owner, as he or she will have full permissions.)

XXIII. Account Settings

XXIV. Chat

Calendar Chat
To chat on a public calendar, you have to add that calendar to your account. This chat feature will appear in all of the calendars that have been added to or created in My Calendars.

1. Go to your My Calendars page.

2. Tap the calendar you would like to chat on.

At the bottom of the screen you will see a gray bar.

If there are new messages in the chat, there will be a number in the message icon.

3. Tap on the gray bar to open the chat. Messages will appear, if there have been previous messages. New messages will appear with a dark blue background on them.

4. Tap on the comment box at the bottom of your screen to create a new message.

5. Type in your message and tap send. You are now chatting.

  • You can also send pictures in the chat message by tapping the picture icon on the left side of your keyboard.

Event Chat
To chat on a shared event, you have to add the event to one of your calendars. You can also open up the event details page of an event on a shared calendar and chat with everyone shared on the calendar.

1. Open the calendar that has the shared event on it.

2. Tap on the event that you want to chat on.

3. Tap on the Event Chat bar at the bottom of the screen.

  • Make sure to have the original calendar selected under the Group of Users section.
  • Here you can see all of the posted chat messages.

4. Tap in the comment box to start chatting.

XXV. All Events

All Events is a section in the app that displays all of your events from all of your calendars.

To choose which calendars you want to see in the All Events section:

1. Tap on the question mark on the far left of the All Events bar.

  • All of your calendars are automatically loaded into the All Events section.

2. Tap on the calendars that you want to take off of the All Events section.

  • Calendars that are included in your All Events section have a filled in diamond to the left of those calendars. Calendars that are not in the All Events section have an outlined diamond to the left of those calendars.

3. Tap done when you are finished choosing the calendars you want to include.

XXVI. Month/Week View

To see a single calendar’s events in a monthly or weekly calendar view:

1. Open the calendar that you want to view.

3. Tap on the Double arrow icon under the weekly view dates to display monthly view.

If you are on the web app, you should be able to see a calendar view towards the left of the calendar you have open.

To see a calendar view of all of your events:

1. Tap on the All Events bar at the bottom of the My Calendars screen to open the All Events section.

2. Tap on the Calendar icon towards the top of the screen next to the search icon.

3. Tap on the Double arrow icon under the weekly view dates to display monthly view.

You should now be able to see all of your events in a monthly or weekly view.

XXVII. RSVP

You can view and manage the RSVP feature in the Event Invitation page of your event.

1. Open the shared event that you want to see the RSVP on.
2. Tap on the Event Invitation section to open the separate event invitation page.

Here you should be able to see every shared user’s RSVP status in the top left corner of their profile picture. If they are attending the event, a checkmark is displayed. If they are not attending, an X is displayed. If they haven’t responded to the event, a horizontal bar is displayed.

To change your RSVP status on an event:

1. Open the shared event that you want to see the RSVP on.
2. Tap on the Event Invitation section to open the separate event invitation page.
3. Tap on the double arrows across from your profile picture.

4. Tap on the RSVP status that you want.

Under Set RSVP Status, you can set your status to:

  • Attending
  • Not Attending
  • No Response

You can send shared users on an event a message asking them to respond to your event invitation. You can do this as many times as you need to, even after people change their RSVP status.

To ask users for their RSVP status,

1. Open the event that the user is shared on.
2. Tap on the Event Invitation section to open the separate event invitation page.
3. Tap on the double arrows across from that user’s profile picture.

4. Tap on the Request RSVP button.

That user will receive a message asking him or her to respond to your event invitation through the Allcal notices, through an iOS push notification, or through his or her email.

XXVIII. Silencing Notices

You can stop notifications from certain calendars and events. To stop getting notifications from a particular calendar:

1. Open the calendar that you want to silence.

2. Tap on the Calendar Details icon (the three vertical dots) under the search icon to open the Calendar Details page.

3. Scroll down to the bottom of the Calendar Details page.
4. Slide the switch for the Get Notices section to the off position.

  • The dark blue color should turn to white once the switch is turned off.

5. Scroll up to the top of the Calendar Details page.
6. Tap the save icon across from the calendar name.

Now you should no longer receive push notifications from that calendar. You will also receive less Allcal notices in the app.

You also have the option to turn off reminders for events. To turn off event reminders:

1. Open the event that you want to turn off the reminders.
2. Slide the switch in the Event Reminder section to the off position.

  • The switch should turn from dark blue to white.

Now, you should not be receiving event reminders from that event.

XXIX. ETA

Along with RSVP, you can see how far away users are from your event if your event has a set location by using event ETA (estimated time of arrival). This feature allows you to know how far away other people are from your event one hour before your event starts. Event ETA is automatically enabled on all events with a location, start time, and users shared on the event. To access your event’s ETA feature:

1. Open the event that you want to see the ETA on.

2. Scroll to the Event Invitation section of the Event Details page.
3. Tap on the Event Invitation section to open it up on a different page.

For users that have Share ETA enabled on their accounts, you should be able to see how many minutes they are away across from their name and profile picture. This feature only works within one hour of the event start time.

Only the owner of the calendar that the event is on, the organizer of the event, and users with edit permissions can see your event ETA. To turn off ETA:

1. Open the calendar with the event that you want to turn off ETA on.
2. Tap on the Calendar Details icon to open the Calendar Details page.

3. Scroll down to the bottom of the Calendar Details page.
4. Slide the switch for the Share ETA section to the off position.

  • The dark blue color should turn to white once the switch is turned off.

5. Scroll up to the top of the Calendar Details page.
6. Tap the save icon across from the calendar name.

Now Users should not be able to see your ETA on events.

XXX. Location

To set the event’s directions from driving to walking, you must be the owner of the event or have edit permissions on the calendar that the event is on. To change your directions from driving in a car to walking:

1. Open the event that you want to change the directions on.

2. Tap the Event Details icon (the three vertical dots) across from the event name.

3. Tap edit.

4. Scroll down and tap on the Location section.

5. Tap on the walking person to change the directions from driving to walking.

6. Tap save to save your location changes.

7. Tap save again at the top of the event settings to save all of your changes.

You should now see directions for walking to the event as well as an estimated time of arrival.

XXXI. Groups

Groups is a feature that lets you see the different groups of people in relation to the calendars that shared events are connected to. To see your different calendar groups on each event:

1. Open the event that has multiple calendars connected to it.
2. Scroll down to the event invitation section.

Here you will see the different groups of users on the event by tapping the different calendar names listed under Group of Users. If your event is connected to several calendars, you can see all the different calendar groups by swiping left or right on the list of calendars.
